Booking, Cancellation, Course and Refund Policy
Last updated: October 2025
This policy applies to appointments, consultations, treatments, deposits and courses purchased from Laser & Skin Belfast, whether booked in the clinic, online or by telephone. By booking an appointment or purchasing treatment, you confirm that you have read and accepted these terms.
Appointment cancellations and changes
We require at least 48 business hours’ notice to cancel or rearrange an appointment. Cancellation notice is effective when received during our published opening hours. Messages sent while the clinic is closed will be treated as received when the clinic next opens.
Appointments cancelled or rearranged with less than 48 business hours’ notice, and missed appointments, will be charged at the full treatment price. Where treatment forms part of a prepaid course, the booked session will be deducted from the course.
This reflects the practitioner’s time and facilities reserved exclusively for the client. If we are able to refill the appointment, we may waive or reduce the charge where appropriate.
Clients arriving too late for treatment to be completed safely may also be charged in full or have the session deducted from their course.
Medical information and treatment suitability
Clients must provide complete and accurate information about their health, medication, tanning, recent treatments and anything else that may affect treatment suitability. Any change must be disclosed as soon as possible and before the 48-business-hour cancellation deadline.
If treatment cannot proceed because relevant information was not disclosed in sufficient time, the appointment may be charged in full or deducted from a course. This also applies where appointment time has already been used discussing concerns, assessing suitability or reviewing information disclosed at the appointment.
A change in medical or personal circumstances does not automatically create a right to a refund. Where treatment is temporarily unsuitable, unused sessions will normally remain as clinic credit, subject to the applicable course expiry date.
Requests to cancel a course on medical grounds must be supported by reasonable written evidence from an appropriate healthcare professional. The evidence should confirm that the client has been advised not to undergo the specified treatment in the intended treatment area and, where possible, whether the restriction is temporary or permanent. We do not require complete medical records or a detailed diagnosis.
Patients are entitled to request copies of their own medical records. Where IPL, BBL or another treatment was discussed during a medical appointment and advice was given against proceeding, that advice should ordinarily be documented in the consultation notes or correspondence sent to the patient’s GP.
Providing medical evidence allows us to review the request but does not automatically guarantee a refund.
Prepaid courses
A course is purchased as one complete package at a discounted upfront price. It is not a collection of individually refundable sessions. The discounted price is offered on the basis that the complete course has been purchased and will be completed.
After any applicable statutory cooling-off period, a change of mind or decision not to complete the course does not automatically entitle the client to cancel it or receive a refund. Unused sessions will normally remain available as clinic credit until the applicable expiry date.
Laser hair-removal courses expire 12 months after purchase. Other courses must be used within the expiry period stated when purchased. Sessions not used before expiry will be lost unless otherwise required by law.
If we agree to an exceptional early cancellation and refund, any treatment already received will be recalculated at its full individual treatment price rather than the discounted course rate. Valid late-cancellation, missed-appointment and other reasonable costs arising from the cancellation may also be deducted. Any remaining balance will then be considered for refund.
Any exceptional refund is discretionary and does not create an obligation to provide refunds in other cases.
Online and telephone purchases
Where a treatment or course is purchased online or by telephone, the client may have a statutory right to cancel within 14 days of entering into the contract.
If the client asks us to begin providing treatment during that 14-day period, they must expressly request this. If they then cancel within the cooling-off period, we may deduct the proportionate cost of treatment or services already provided. Once a service has been fully performed following the client’s express request and acknowledgement, the statutory cancellation right ends.
After the applicable cooling-off period has expired, the standard course and cancellation terms above apply.
Treatment results
Treatment fees cover the practitioner’s time, expertise, products, consumables and use of equipment. Individual responses vary, multiple sessions may be required, and complete clearance or a particular result cannot be guaranteed unless expressly agreed in writing.
Where treatment has been performed with reasonable care and skill and in accordance with the agreed service, refunds are not provided solely because:
-
the client is dissatisfied with the result;
-
improvement is less than hoped;
-
vessels, pigmentation, hair or another concern remain;
-
the concern later returns; or
-
further treatment is required.
This does not limit the client’s rights where a service has not been performed with reasonable care and skill or has not matched what was expressly agreed.
Cancellations by the clinic
If we need to cancel an appointment, we will offer a suitable alternative appointment. If we are permanently unable to provide a prepaid treatment, we will offer an appropriate alternative or refund the amount relating to the service we cannot provide, as required by law.
We are not responsible for reasonable postponements required to protect client safety, including postponements caused by illness, medication, tanning, contraindications or incomplete medical information.
Concerns and complaints
Clients who have concerns about treatment should contact the clinic in writing so that we can review the consultation, consent forms, photographs, treatment settings and clinical notes. We may invite the client to attend a review appointment before deciding what action, if any, is appropriate.
Raising a complaint or being dissatisfied with an outcome does not automatically create a right to a refund. Each concern will be reviewed individually and responded to through our complaints procedure.
Statutory rights
Nothing in this policy excludes or restricts a client’s statutory consumer rights.
